Privacy Policy
InterviewOnce records a conversation with you and writes a report about it. That is personal data, and this page says exactly what we do with it. It applies to the website at interviewonce.com and the app at interviewonce.com/app.

What we collect
- Account details: your name, email address and a hashed password. If you sign in with Google, the name and email Google shares with us.
- What you tell us about the interview: the job title, seniority and interview type you choose, the company you name, and your CV if you upload one.
- The interview itself: your voice, the interviewer’s voice, and a transcript of both, recorded from the moment you press “I’m ready” until the session ends.
- What we produce from it: the interview plan, your scores, the written report and its PDF.
- Payment records: which pack you bought, when, and PayPal’s transaction reference. We never see or store your card or bank details; PayPal handles those.
- Technical data needed to run the service: IP address, browser and device type, and logs of errors and session events.
What we use it for
- To run your interview: the AI interviewer needs your role, level, CV and company context to ask relevant questions, and needs your voice to hear your answers.
- To write your report, which is built from the recording and transcript.
- To keep your account working: sign-in, email verification, password resets, receipts, and telling you when a report is ready.
- To keep the service honest: detecting abuse, rate-limiting, and fixing failures. We keep a record of every payment state change so a credit can never be granted twice or lost.
- To improve the product using aggregate, de-identified measures such as how often a phase runs over time. We do not use your recordings, transcripts or CV to train AI models.
Consent to recording
You are asked to consent before your first interview is recorded, a recording indicator is shown on screen throughout every session, and the pre-flight screen states plainly that the session is recorded and transcribed. If you do not want to be recorded, do not start an interview; the service cannot produce a report without the recording.
Who processes it on our behalf
We use a small number of providers to run the service. Each receives only what it needs for its job.
- Google (Gemini API): generates the interview plan, runs the live voice interview, parses CVs and writes reports. Audio and transcripts are sent to Google to do this.
- PayPal: takes payment. We receive confirmation of the purchase, not your payment details.
- Our hosting and email providers: store the service’s data and send transactional email.
How long we keep it
- Interviews, transcripts, audio and reports: until you delete them. You can delete any single interview from your history, immediately and completely.
- CV files: until you delete the interview they were uploaded for, or your account.
- Your account: until you delete it. Deleting your account removes everything above after a short grace period during which you can change your mind. Payment records are kept for as long as tax and accounting law requires.
- Company context we generate from a company name you type is not personal data and may be cached and reused.
Your rights
Wherever you are, you can access, correct, export and delete your data. Most of this you can do yourself from Settings in the app; for anything else, write to hello@interviewonce.com from the email on your account.
- If you are in the UK or EU, these rights come from the GDPR. You also have the right to complain to your data protection authority.
- If you are in South Africa, these rights come from POPIA, and you may complain to the Information Regulator.
- We will answer any request within 30 days.
International transfers
Our providers may process data outside the country you live in, including in the United States. We rely on standard contractual protections with each of them.
Security
Data is encrypted in transit and at rest. Passwords are hashed. CV uploads are type-checked and scanned before they are stored, and served only through short-lived links. AI and payment credentials never reach your browser.
Cookies
The app uses one cookie, to keep you signed in. The website sets no tracking cookies and loads no third-party scripts.
Children
InterviewOnce is for people looking for work and is not intended for anyone under 16. If we learn that we hold data about a child, we delete it.
Changes
If this policy changes in a way that matters, we will email account holders before it takes effect. The date at the top of this page is the date of the current version.
